Discussion what's your biggest Teams + Power Automate bottleneck right now? (trying to build some fixes)

Hey everyone,

I'm working on setting up some straight-to-the-point, step-by-step guides for common Microsoft Teams + Power Automate headaches.

Instead of just guessing what to focus on next, I want to address actual real-world bottlenecks people run into daily.

Whether it's dealing with broken adaptive cards, managing annoying approval flows, handling notification spam in specific channels, or syncing Teams chat data—what’s driving you crazy right now?

Drop your biggest issue in the comments below. I’ll try to look through them and work out the exact step-by-step fix for you.

❔Question/Help I could use some help. I have an interview coming up this week and I'm not sure if my computer is set up correctly.

I just downloaded the Microsoft teams onto my pc per interview company requirements. There's a lot of prep work they want me to go through for this job. But one of my concerns is whether or not the interviewer will be able to hear me, I can hear them, and we both can see each other. Can someone help me test this out or walk me through this? It took a lot of effort to get to even this stage of the hiring process to fumble it now. Thanks in advance.

Tip Prevent spam calls from reaching you on Teams

Recent posts have surfaced experiences with spam calls to users on Teams. We wanted to share some best practices for admins and what individual users can do to prevent unwanted calls.

For admins:

Teams-to-Teams

Admins can tighten external communications policies to protect users and their org from unwanted calls. Through the unified external collab settings in the Teams Admin Center, IT admins can configure external collaboration policies for all users securely and efficiently. You can select from predefined modes for quick set up or customize settings when you need more flexibility. For more information on setting these up, click here

Admins can also block unauthenticated or anonymous external users from joining meetings hosted by anyone in your org. To do this:

  • In the left navigation of the Teams admin center, go to Meetings > Meeting settings.
  • Under Participants, turn the Anonymous users can join a meeting toggle On or Off.
  • Select Save.

PSTN calls

Admins can also customize block settings for incoming PSTN calls. Through PowerShell, you can define a list of number patterns and exceptions at the tenant global level so the caller ID of every incoming PSTN call to the tenant can be checked against the list for a match. If a match is made, an incoming call is rejected or routed to a resource account. For instructions on call blocking, check out: Block inbound calls in Microsoft Teams - Microsoft Teams | Microsoft Learn

Intelligent Call Delegation

We also have a new feature in public preview if your organization is enrolled in the Frontier early access program. Intelligent Call Delegation uses AI to answer calls on your behalf, engage with the caller, and provide details about who is calling and why, helping you focus on the conversations that matter most.

It's a great option for handling unknown callers, reducing interruptions, and making more informed decisions about which calls require your immediate attention. Learn more here. Stay tuned for broader availability as we continue bringing this experience to more customers.

Individual users

While robust spam protections are controlled at the admin level, individual users can also block anonymous calls. To do so:

  • Click … > Settings > Privacy > Blocked contacts > Toggle on Block calls with no caller ID

Users can also report suspicious Teams calls.

  • Go to call history or post call experience in Teams and select … > Report call.
  • Security concern. is already selected as the reason. Enter additional explanation as required.
  • Review the selections and select Report.

We hope this helps! What controls or policies have made the biggest difference in shutting down spam calling at your org?

Bug Anyone else dealing with an outage?

I have been unable to access my assignments on Teams. It's been that way for about 5 hours. Now, if this issue isn't fixed I will have to stay up extremely late to get my college assignments done.

Bug Quiet Hours not respected between weekend day ending and next workday

Ahoy,

I know this isn’t the official channel for reporting bugs, but figured I’d write this up here in the event it helps other kindred searchers with the same issue.

I believe I found a bug that‘s been bugging me for a while:

I have quiet hours setup to only allow notifications between 8a and 6p on weekdays, and not at all on weekends.

On iOS, this is not respected between 12a-8a on Mondays, and I know it should be quiet hours during that time because if I open the app, it shows the ZzZ icon over my name.

  • Teams App 8.15
  • iOS 26.61
  • Desktop Teams not in use
  • Have tried uninstall/reinstall
  • Force quit/relaunch
  • Restarting iPhone

All other hours are respected, it’s just that gap between 12a-8a on Mondays that appears to be the problem, which is only especially frustrating as it feels like I’m being thrown back into work rather than getting to ease into it.

fwiw I do work in software support/qa and find bugs for a living, but am open to any variables I might‘ve overlooked.

❔Question/Help iPhone login error

I’ve been struggling with this for a few days. I’m logged into my enterprise account no problem along with on my iPad and MBA.
I have a Family 365 account with this iPhone issue.
I get the dreaded you attempted too many attempts, try later.
Today I escalated to support, the first level had me delete, power cycle and add the app back. No go. They have escalated to another level.
The irony is when ME sends me an email to my outlook.com account it’s always goes to Junk in Outlook.
Has anyone been able to resolve this with what steps that cured the problem.

Thanks.

Bug Microsoft Teams calls automatically start on speakerphone when answered (Samsung XCover7 Pro)

Hi everyone,

We're experiencing a strange issue that started around 2-3 months ago.

Whenever a user receives a Microsoft Teams call and answers it, the call automatically starts on loudspeaker/speakerphone. This happens consistently across multiple devices.

Our environment:

  • Samsung Galaxy XCover7 Pro
  • Devices managed through Microsoft Intune
  • Microsoft Teams for Android

Users have to manually switch from speakerphone to the handset every time they answer a call, which is quite annoying.

Has anyone seen the same behavior recently? If so, were you able to identify the cause or find a fix?

I'm not sure if this is related to a Teams update, an Android update, Samsung settings, or an Intune configuration.

Any feedback would be appreciated. Thanks!

❔Question/Help Are Teams Agendas a dead feature walking?

I work for a large enterprise that uses teams for meetings / conferencing and outlook for email. For a while now we’ve been trying to use the teams agenda feature to help us prepare for meetings, setting up collaborative agendas for the participants. We had tried other tools like Fellow, which is better functionally, but expensive.

My question is does anyone know if this feature is a dead feature walking? It’s not been updated in over a year and seems to be very restrictive. You can only create an agenda at the bottom of a meeting invite via the client only (no api etc) and it doesn’t work in outlook at all.

Anyone from the MS PG care to comment or any fellow redditors have insights?

❔Question/Help Combine chats and channels into 1 single list without grouping

Hello everyone!

Is there a way to have both chats & channels in a single list? I know there's the combined view, however, even in this view, the chats and channels are separated.

Weirdly, this is possible on the Android mobile Teams app, but I did not find a way to achieve this on Windows 11.

The outcome I would like to have is a list of all unread "things" (chats & channles) sorted by most recent activity.

❔Question/Help How to enable PopUps? - PowerBI in Teams "You need to use SSL (HTTPS) when you use OAuth 2.0 authentification." - DETAILED

This is supposed to be a summarization of:
https://help.connectorly.io/en/articles/9844430-solved-you-need-to-use-ssl-https-when-you-use-oauth-2-0-authentication-in-power-bi-when-using-a-file-in-sharepoint-as-a-data-source

with all steps with pictures.
All steps are described, while I also want to ask what do if this does not work. (Probably because I try to use MS Teams instead of Web or Desktop PowerBI)

MS Teams PowerBI:
ErrorMsg "You need to use SSL (HTTPS) when you use OAuth 2.0 authentification."

Usual workaround:
a) activate popups in Edge
edge://settings/?search=pop

Also added all sites i can think of to the whitelist.
PowerBI tries to open this exact website (you can look it up in the history):
https://preview.powerbi.com/views/oauthredirect.html

b) Set Edge as default Browser
ms-settings:defaultapps

c) If this still does not work, use another browser and set this one to "Allow Popups" and "Make default browser"
Recommended Browsers for this: Firefox, Chrome

After this summarization.
Any ideas what else I can try to get the OAuth pop up to show up?
On our systems PowerBI in Teams opens a new tab in Microsoft Edge (no matter which browser is set as default) and closes it within 100ms. If Edge is currently not open, it opens Edge for one Frame (barely noticeable).
I'm at my wits end.
Power BI Desktop App's Authentication works flawlessly. Typical OAuth PopUp authentification.

---

Just for the sake of mentioning everything:

Privacy level setting also has no impact. Pop-Up fails no matter which is set.

❔Question/Help Microsoft Teams Room in Dual Monitor Mode issue

Hey all,

Currently having an issue with 2 MTR rooms running on Lenovo ThinkSmart PC's with Logitech Taps. The Logitech Tap HDMI ingest is being fed by a Extron 2x1 autoswitch. Barco ClickShare is feeding input #1 and input #2 is an HDMI cable sitting on the conference room table. Input #2 is the priority so that if someone plugs in their laptop, the switch automatically shows their laptop on both displays in the front of the room. When disconnected, switch automatically switched back to Barco ClickShare wallpaper.

During the day, system is completely stable. When left on over night, coming in the next morning, I'm greeted with both front displays showing purple spinning circles. If I click un-share and then re-share content, Barco wallpaper comes back on both displays. If I turn off dual monitor mode and leave overnight, system is up and running in the morning with Barco wallpaper on one display. I've re-imaged the Lenovo PC, replaced the Lenovo PC, changed all HDMI cables, but issue still persists. I've also set the PC for "Ultimate Performance" power setting and disabled all power management settings for USB hubs on the PC (As per a suggestion from Logitech support).

Anybody else experiencing this? Also we have approximately 20 other Teams rooms running in dual monitor mode with no issues. And about 120 other rooms running is single monitor mode.

Bug Any other androids experience this?

Post image

Whenever someone posts an image with text added, it is always cut off for me. I've asked my coworkers that have an iPhone if it is cut off for them also and they say no. It is pretty annoying not being able to know what is fully going on and having to ask what the message is every time. Not sure if it's a bug or what..

Is the a setting I can change or is this just how the new app is supposed to work?

Tip Solution for assigning Microsoft Teams Phone Standard license to a group

After a few days lurking, i finally managed to achieve the holy grail: Assigning a group to a Microsoft Teams Phone Standard license.

Scenario:

  • Unable to assign a group in MS365 licenses since "Your assignment was unsuccessful" "Cannot process request beacuse a service plan depends on another service plan"
  • Also unable via powershell since "License assignment failed because service plan 4828c8ec-dc2e-4779-b502-87ac9ce28ab7 depends on the service plan(s) 57ff2da0-773e-42df-b2af-ffb7a2317929,0feaeb32-d00e-4d66-bd5a-43b5b83db82c"

After lurking 57ff2da0-773e-42df-b2af-ffb7a2317929,0feaeb32-d00e-4d66-bd5a-43b5b83db82c, i figured out:

Your user's base license (in my case a Microsoft 365 E3) needs to have the products enabled :

  • Teams (57ff2da0-773e-42df-b2af-ffb7a2317929)
  • Skype Online Plan 2 (0feaeb32-d00e-4d66-bd5a-43b5b83db82c)

But hold on, there is more:

I had to create a group "Users_with_E3_and_also_with_Teams_Phone_Standard-License". I added this group into my base license Microsoft 365 E3 and also into my Microsoft Teams Phone Standard.

The already licensed users in Microsoft 365 E3 are not counted twice. But being linked to Microsoft 365 E3 and Microsoft Teams Phone Standard at the same time, they now get the E3+Tams Phone licenses.

❔Question/Help Incoming messages don't have a bubble around them anymore, they sit directly on background

Not sure if this is a bug or something that was intentionally changed, but it's so hard to keep track of messages in group chats now it's ridiculous.

Tip New Tool - Teams Audio Ducking - Auto Mute Apps

New tool 📢 - A call comes in, Spotify is playing, and a YouTube video is going somewhere in the 50 Edge tabs I have open. By the time I find the right tab, I have either missed the call or answered it flustered.

Not a big problem, just annoying, and I could not find a tool that did what I wanted: mute everything except Teams when a call starts, then put every app back exactly as it was. If Spotify was at 35%, it comes back at 35%.

So I built it. Teams Audio Ducking is a free, open-source tray utility for Windows. It mutes every other app the moment a call rings or connects, restores them all when the call ends, and never touches Teams, your microphone or your default device. It works out the call state from two things Windows already tracks: which apps have the mic open, and how loud Teams itself is playing. No audio passes through it, and it is fully local.

I am not a C# developer (my day job is Intune and AVD), so I vibe-coded this one with Claude Code over a couple of evenings.

Write-up, including how it detects a ringing call and where it falls over: https://modernworkspacehub.com/mute-apps-during-teams-calls/

Happy ducking! 👌

Tip Customizing calendar visibility

To make collaborating on Teams easier, you can invite people in your org to view and access your calendar. While default availability settings are set by your admin (typically availability only), you can change your settings to control which details each colleague or your whole org can see.

To change your calendar sharing settings in Teams:

  • Go to: Calendar > … More options > Share.
  • Enter the name or email address of the person you want to share your calendar with in the contact box.
  • Hit Share and they’ll have access until you revoke it.

Underneath the contact box, you can also control your general access permissions for all users in your org.

Here are the permission levels and what they mean:

  • Can view when I’m busy: Can only view the time you have blocked out as busy.
  • Can view titles and locations: Can view only title and location of an event.
  • Can view all details: Can view all details, including event descriptions and attendees.
  • Can edit: Can view, edit, and delete events.
  • Can delegate: Can view, create, modify, and delete items. A delegate can also create meeting requests and respond to invitations on your behalf.

For more calendar sharing info: Share your calendar in Microsoft Teams | Microsoft Support

What is the calendar visibility culture like at your organization?
